Project Manager, Asset Management

Responsible for all pre-construction planning and estimating requirements for future Tenant Improvement projects and building repair and upgrade projects such as roof replacements, structural upgrades, etc. This position will also prepare project scope reviews, analyze and review historic documents, and be able to understand drawings and building specifications, obtain quotes from suppliers, compile labour and material takeoffs to prepare  budget estimates, prepare initial project timeline overview schedule.

Key Responsibilities:

Planning:

  • Work with the Asset Management team to develop client requirements and expectations with regard to tenant improvement projects and support the Project Managers as needed with regard to building repair and upgrade projects
  • Assess existing conditions, identify areas of concern and coordinate appropriate consultant reviews to identify any site-specific extraordinary issues and prepare a comprehensive condition assessment report
  • Engage consultants to provide preliminary design drawings and work with Estimating to provide comprehensive conceptual estimates to establish deal parameters
  • Support the Asset Management team to resolve pre-construction issues, provide value engineering solutions or rework the design to accommodate the client needs to the conclusion of the deal
  • Provide direction to the consultant team through the municipal planning and building approval stage
  • Obtain all required municipal permitting
  • Work closely with the clients from initial contact through turnover of the space and manage stakeholder expectations
  • Lead design meetings to develop and analyze plans and specifications for coordination, constructability, value engineering, and completeness – coordinating all information through to the client as required
  • Responsible for the overall project performance including schedule, budget, quality, safety and client satisfaction
  • Coordinate work programs with Tenants to allow continuity of their business operations during the course of the project
  • Prepare and issue the project tender packages, including scopes of work customized for the specific project, review quotations and provide bid analysis and prepare award contracts and contract documents
  • Develop a comprehensive schedule that effectively allocates the resources to the activities and provide updates to all stakeholders
  • Provide timely and effective project administration including management of changes, requests for information, file systems, progress billings, insurance requirements and financial analysis
  • Provide monthly reporting including project status reports, cost forecasts, cash flows, schedule updates, safety and quality updates
  • Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project
  • Monitor site safety and ensure that the requirements of the Occupational Health and Safety Act and the Beedie Health and Safety policies are enforced on site
  • Ensure all required municipal inspections are performed and obtain the occupancy permits
  • Prepare and expedite project deficiency lists and deliver completed projects over to the Property Managers, providing all project close-out documentation
  • Maintain excellent relationships with clients, municipalities, consultants, subcontractors, and internal project team
  • Other duties as required

 Estimating:

  • Prepare high level conceptual budgets based on minimal information
  • Preparing accurate and dependable estimates as required for final project commencement
  • Solicit subcontractor and/or supplier information and pricing
  • Assist  in monitoring construction and material cost trends affecting costs
  • Participate in the transfer of lessons learned meetings for all projects

Desired Skills and Experience:

  • A minimum of 5-7 years of relevant work experience in industrial or commercial restoration or renovation projects. Experience must include some estimation responsibilities.
  • A technical Diploma or relevant University Degree
  • Strong technical skills (Word, Excel, PowerPoint, Outlook); MS Project
  • Current knowledge of project management tools including Microsoft Project and scheduling software
  • Demonstrate ability to effectively manage, timelines and budgets to ensure delivery of project objectives
  • Previous experience in developing detailed project plans using project management tools and methodologies
  • Have an understanding of current Building Code requirements
  • Strong planning and execution skills
  • Superior analytic, problem solving and judgement skills
  • Demonstrate ability to effectively communicate ideas and actions to those at all levels of the organization
  • Experience with process redesign, process mapping and documentation
  • Ability to thrive in a fast paced, challenging and constantly changing work environment
